From manual contact lists to reviewable campaign audiences

A controlled workflow prepares explainable campground marketing audiences from operating data, reconciles communication permissions, and preserves human approval of both the message and final delivery.

The operating challenge

Marketing audiences were assembled manually from broad email lists. Staff had to decide whom to target, work through list membership and permission questions, prepare content, and schedule each campaign. The process consumed roughly a working day by the operator’s estimate and supported only broad targeting.

The campground wanted more specific audiences and a dependable explanation of who was included, who was excluded, and why—without automating final approval or sending.

The implemented workflow

Data from the campground’s operating system enters a controlled intake workflow. Files are validated and parsed, guest and stay records are normalized, and useful attributes such as stay status, source channel, lead time, revenue, family or pet indicators, and site information are derived.

Before an audience is created, the workflow reconciles email permissions with the email platform. Unsubscribed, bounced, suppressed, missing, and ambiguous contacts are excluded. Campaign rules then identify the audience, apply overlap controls, document exclusion reasons, and prepare a reviewable handoff.

Observed field evidence

The campground moved from broad manual lists to explainable segments with repeatable eligibility rules. During implementation, the workflow supported campaigns to 88 repeat RV guests in the drive market, 473 past pet travelers after exclusions and overlap controls, and 2,977 permission-eligible contacts for a broad promotion.

The operator estimates campaign preparation fell from approximately one day to one or two hours. Audience confidence, consistency, and reviewability improved because counts, exclusions, permissions, and handoff status could be checked in a repeatable way.

Human review and delivery controls

The workflow automates data refresh, normalization, permission checks, and audience preparation. An operator still finalizes the message, runs seed tests, reviews rendering and counts, approves the campaign, and sends or schedules it. The system does not send campaigns autonomously.
